Purpose & Overall Relevance For The Organization
To handle day to day logistics activities efficiently and timely in a cost effective way from factories until stocks are available in the warehouse for both trade and non-trade purchases. Responsibility also includes the daily monitoring of all related functions of inbound shipping, clearing, forwarding and stock updates.
Key Responsibilities
- Lead the responsibility of the inbound operation from the factory pick up until the goods are receipt in the warehouse.
- Coordinate Inbound operations with Freight forwarders, Customs Authority and Distribution Center to ensure shipments are available on time in the warehouse.
- Handling of day to day operations of inbound such as tracking shipment status, pre-advises, receipt in the warehouse etc.
- Monitor the shipments and update relevant trackers and systems (such as SAP, ticketing systems etc).
- Timely validation of freight invoices and informing Finance team.
- Handling of logistics activities of non-trade business, shipment follow up, shipment update etc.
- Conduct accuracy checks on shipments and make alternative replacements if necessary
- Check availability and accuracy of documents, packing, marking of the supplied equipment by obtaining the relevant photos from the supplier prior to its shipment from the supplier’s warehouse if required.
- Inform in a timely manner order owners on receipt of the equipment in the warehouse and receipt of goods.
- Create and follow up on all documentation tasks such as PO’s sell out support forms including follow up on signatures and submission to finace in a timely manner.
- Ensure the timely receipt of original documents (contracts, specifications \ appendix to the contract, invoices, bills of lading, acceptance acts) from the supplier as well as the provision of the supplier with these documents.
- Provide timely settlement of invoices under the contract with the supplier
- Provide the customer and the shipper with the necessary information to process customs documentation.

Knowledge, Skills And Abilities
- Strong working experience in MS-Excel and ERP system (preferably SAP).
- Excellent organizational skills.
- Excellent interpersonal & communication skills, with the ability to deal with both internal & external partners at all levels.
- Excellent reading, writing & spoken English skills.
- Excellent Planning skills.
- Ability to make efficiency proposals for improving the processes of the delivery of equipment to stores and purchase of equipment and materials.
- Ability to improve processes within the area of his work .
- Ability to give timely and accurate updates to line manager regarding assignments and tasks.
- Ability to work independently & make decisions with limited direction & under tight deadlines.
Requisite Education And Experience / Minimum Qualifications
- University degree or equivalent in Business Administration
- Minimum of 3 years working experience in Supply Chain and Logistics.
- Previous experienc working with Freight forwarders and Distribution Center.
- Exposure of working in global organization
